Title

HR Specialist

Purpose
  • Reporting to the HR Manager, the HR Specialist will be responsible for ensuring that critical HR interests are supported professionally and in accordance with the local labor laws and company policies. The HR Specialist will also be responsible for providing responsive and proactive support and advice to line managers on broader HR issues and complex individual cases, ensuring effective employee relations through professional compliance with policies and procedures.
Responsibilities
  • Support line managers and staff on HR related issues such as: company policy, employee resource, induction, staff development/performance issues, disciplinary procedures, staff grievances, counseling, organization structure reviews, job and manpower changes, policy roll-out, career planning & promotion, redundancies, death in service etc.
  • Support the HR Manager in ensuring that policies and procedures are appropriate for the business and consistently applied across the organization.
  • Maintenance of the employment regulation manual and a staff handbook.
  • Carry out evaluation for all existing and new jobs in line with the company policy, ensuring that the Job Descriptions for all positions are updated with any changes/developments on a real time basis.
  • In consultation with HR Manager, develop a structured career path and succession planning process for employees across the business.
  • Develop, implement and manage an effective employee performance management system ensuring its integration with other reward and recognition systems leads to the development of a high performance of a high performance culture.
  • Conduct investigations and manage the disciplinary process as required, ensuring a satisfactory conclusion for the business in all cases.
  • Support all HR administration such as: employee payroll & benefits, salary revisions, promotions and offers to new hires, employee feedback mechanisms, staff events, maintenance of employee information, records and files and timely, accurate and effective reporting on HR related issues.
  • Responsible for assisting with the preparation of job descriptions.
  • Responsible for working as a recruiter within a small team including advertising, screening candidates, conducting interviews, reference checking and candidate mobilization.
  • Participate in overseas recruitment.
  • Conduct employee relations aspects of staff orientation training.
  • Responsible for the coordination and application of the employee probationary review policy and process.
  • Actively participate in the coordination and administration of the company’s performance appraisal process.
  • Facilitate training relating to interviewing skills, company policy, cascade communication and performance management.
  • Responsible for the investigation and resolution of employee grievances including the presentation of investigation reports.
  • Responsible for conducting investigations into alleged poor performance and misconduct including the presentation of investigation reports.
  • Maintain appropriate documentation and files relating to investigations.
  • Conduct exit interviews.
  • Responsible for the development of cascade communication material and facilitating tool box talks.
  • Responsible for the preparation of reports.
  • Responsible for the data capture of employee data in the ERP system such as exit interviews, performance appraisal rating and disciplinary outcomes.
  • Provide advice and coaching guidance to managers, supervisors and employees relating to the company policy.
  • Any other HR related duties as required and directed by the HR Manager
Education
  • University degree in HR or related subject and/or Post Graduate Diploma in HR Management, Business Administration or equivalent qualification.

Required Experience
  • 3-5+ years experience in a HR generalist role within a fast paced and dynamic service oriented environment of rapid change.
  • Substantial experience in an internal employee relations and recruitment role.
  • Strong awareness of current employee relations practices and recruitment trends.
  • Previous experience in search strategies particularly approaching passive job seekers in the market.
  • Demonstrate experience of the design and implementation of HR policies and procedures as well as management of grievance and disciplinary processes.
  • Demonstrate experience in the effective utilization of recruitment assessment tools including behavioral interviews, role-plays, trade tests and psychometric testing.
  • High level of proficiency in the Microsoft Office suite.
  • Demonstrated ability to engage and maintain effective stakeholder’s relationships with a consultative approach.
